๐ค๏ธ Weather Policy
We run rain or shine. Most of our equipment is built for it, and a lot of our events can move under a tent or indoors if needed. That said, safety comes first, so here's how we handle weather situations.
Light rain
We play through it. Laser tag gear is splash-resistant, our inflatable bunkers handle a little rain, and most rental items (tables, chairs, tents, coolers) are fine. If you're set up under a tent or have an indoor backup space, even better.
Heavy rain, thunder, or lightning
We will pause or end any active laser tag event the moment lightning is in the area โ no exceptions. Our staff make the call on the ground, and we'll work with you on what makes the most sense:
- Pause and wait it out if the weather is expected to clear soon.
- Move indoors if you have a gym, garage, or large covered space we can quickly reset in.
- Reschedule to another available date if the weather isn't clearing.
Cancellations and reschedules due to weather
We watch the forecast for every booking. If the forecast looks bad, we'll reach out to you the day before to talk through options.
- Reschedule for free: If we mutually decide to reschedule due to severe weather (heavy rain all day, thunderstorms, dangerous winds, etc.), we'll move your booking to another available date at no extra charge. Your deposit transfers.
- Same-day weather cancel by us: If our staff arrives and the conditions are unsafe to operate, we'll reschedule you at no charge. Deposit transfers.
- Customer-initiated cancel: If you decide to cancel because of weather but conditions are still safe to operate, our standard cancellation policy applies.
What's our definition of "unsafe"?
For laser tag specifically:
- Active lightning within ~10 miles
- Sustained winds over ~25 mph (the inflatable bunkers become unsafe)
- Heavy rain that compromises the gear or the playing surface
- Extreme heat (over 95ยฐF) without shade or hydration breaks
For rental-only events (tables, chairs, concessions, etc.), the call is yours โ the gear can usually handle it, but we'll talk it through with you.
๐ Cancellation & Reschedules
Plans change. We get it. Here's how we handle cancellations, reschedules, and refunds so there are no surprises either way.
The 50% deposit
Every booking โ rental or laser tag event โ is confirmed with a 50% non-refundable deposit. That deposit holds your date on our calendar and turns away other bookings for that day. The remaining 50% is due:
- Rentals: at pickup
- Laser tag events: day-of, before we start setup
Standard cancellation refunds
If you cancel for a non-weather reason (plans changed, event called off, etc.):
| Notice given | What you get back |
|---|---|
| 30+ days before event | Full deposit refund |
| 14โ29 days before event | 50% of deposit refunded |
| 7โ13 days before event | Deposit applies to a future booking within 12 months (no cash refund) |
| Less than 7 days before event | Deposit forfeited |
| Day-of / no-show | Deposit forfeited + balance owed if we already delivered or set up |
We'll always try to be reasonable. If something serious comes up (illness, family emergency), call us and we'll figure it out together.
Reschedules
Reschedules are almost always better for both of us than cancellations:
- More than 14 days out: Free reschedule, deposit transfers. Pick any available date within 12 months.
- Less than 14 days out: We'll do our best to reschedule, but a $25 rescheduling fee applies to cover the gap on our calendar.
- Less than 48 hours out: Treated as a cancellation unless weather is involved (see weather policy).
A booking can be rescheduled once at no charge. Multiple reschedules of the same booking may incur additional fees.
Weather cancellations
Weather is its own category โ covered in detail in our weather policy. Short version:
- We reschedule for free if we mutually agree the weather is unsafe.
- Your deposit always transfers in a weather situation.
- You don't lose money for weather we both saw coming.
When we cancel
In rare cases we may need to cancel on you:
- Weather: Free reschedule, deposit transfers (see above).
- Equipment failure or staff emergency: If something happens on our end and we can't run your event, you get a full refund of everything paid โ deposit and balance. We'll also do our best to find you a same-day alternative if one exists.
- Safety / policy violations: If we have to end your event early due to a violation of our drug & alcohol policy or other safety policies, no refunds are given. We always try to talk through concerns before it gets to that point.
How to cancel or reschedule
Call or text us โ that's the fastest way:
๐ (570) 396-3922
We'll confirm in writing (text or email) what was agreed to, so there's no ambiguity later. Refunds, when due, are processed within 7 business days to the original payment method.
๐ซ Drug & Alcohol Policy
Our top priority is running safe, fun events โ especially when kids are involved. This policy keeps everyone safe and protects our staff, our equipment, and your guests.
At events with minors
No alcohol or drug use is permitted around the laser tag area while the event is active.
This includes parents and other adults at the event. We know it might feel strict, but with kids running around with equipment, in inflatable bunkers, and on uneven ground, we need every adult present to be alert. If something goes wrong and an adult needs to step in or make a call, they need to be sober.
At adult-only events
If your event is 21+ (corporate party, adult birthday, fundraiser, etc.) and alcohol is part of the plan, that's fine โ but a few ground rules:
- No one plays laser tag while intoxicated. Our staff will sit out anyone who's clearly impaired. This is for their safety, the safety of other players, and the protection of our equipment.
- No drinks inside the play area. Drinks stay outside the arena/playing field. Spills on the gear or bunkers are a real problem.
- No illegal drugs at any event, period. If we see it, we'll end the event.
Our staff's call
Our game coaches and staff have full authority to:
- Refuse to allow a specific person to play if they appear impaired
- Pause the event if conditions become unsafe
- End the event early if necessary
If we have to end an event early due to violations of this policy, no refunds are given. We'll do everything we can to talk through concerns with you before it gets to that point.
๐จโ๐ฉโ๐ง Parent & Guardian Presence
For any event involving minors, we require at least one responsible adult (parent, guardian, teacher, camp counselor, or designated chaperone) to be present and on-site for the duration of the event. Our staff run the games, but we are not babysitters, and we want every child to have an adult they know they can go to if needed.
Specifics
- Birthday parties and home events: The hosting parent or guardian must be on the property for the full event.
- Schools, camps, and youth groups: At least one staff member, teacher, or counselor from your organization must be present in the play area for the entire event. We recommend one adult per 15 children at minimum.
- Drop-off events: We do not run drop-off events for children under 18. A parent, guardian, or designated adult must be present.
What "present" means
The responsible adult should be:
- On-site (not running errands, not at a different location)
- Reachable โ phone on them, not buried in a bag across the yard
- Able to step in if a child gets hurt, upset, or needs to leave
- Aware that they โ not us โ are responsible for any non-play behavior, food allergies, medical needs, and pickup logistics
Why we require this
A few real-world reasons:
- Medical issues. If a child gets a scrape, has an asthma attack, gets stung by a bee, or has a food allergy reaction, we need someone who knows that child's medical history to make the call.
- Behavior issues. If a child needs to be talked to, taken aside, or removed from the game, that's the parent's or guardian's job โ not ours.
- Pickup and handoff. Parents handle their own kids' pickup. We don't release children to anyone.
- Emergencies. If something goes really wrong (severe injury, weather emergency, etc.), we need adults who can make decisions for the children present.
What our staff handles
We handle:
- Running the games safely and fairly
- Equipment setup, operation, and breakdown
- Explaining rules and making sure the games go smoothly
- Keeping play age-appropriate and fun
We don't handle:
- Discipline beyond pausing a player from a game
- Medical decisions
- Pickup, drop-off, or supervision outside the active play area
- Food, snacks, or drinks (unless specifically rented from us)
